Production expense management is how a show controls and records its day-to-day spending: who can spend, on which cards and up to what limit, how receipts are collected, and how each charge is coded to the budget. Software for it replaces petty cash envelopes, personal cards and reimbursement spreadsheets with company cards whose charges reach the budget as they happen.
Most production spend is small and fast: a props run, a fuel stop, a craft service order, a hardware store trip for the grip department. Coordinators, department heads and PAs make the purchases, and the production accountant has to match each one to a receipt and a budget line, often days later and with some receipts missing.
Corporate expense tools are designed around employee reimbursements and a monthly close. A production needs spend tied to a project and a budget line, limits set per department, and cards that can be shut off the day someone wraps.
Saturation Pay gives a production a US business bank account and Visa expense cards, also called P-cards: virtual cards that work as soon as they are issued and physical cards shipped to an address you choose. Each card can carry a daily, weekly, monthly or total spend limit, merchant category restrictions and a project, and a card issued to a budget line codes its transactions to that line automatically. Project allocations cap what each production can spend, and cards can be frozen or cancelled at any time. Cardholders upload receipts on the web or in the Saturation Wallet iOS app, which scans them with the camera, and accountants can itemize a charge across several accounts. Cards from other banks can be connected through Plaid so their transactions land on the same Transactions page, and the QuickBooks Online integration syncs categorized transactions to your books. A separate Saturation Credit Card, approved on business performance rather than personal credit, earns up to 3% cash back.
